Reports to: Operations Manager
Job Summary: New Mexico Wild is seeking a versatile, motivated, energetic administrative professional to support our operations and help us further our mission to protect New Mexico’s wilderness, wildlife, and water. The administrative assistant will report to the operations manager and will support the operations, finance, communications, and outreach teams with administrative tasks. The following list of duties is not comprehensive, but is a good representation of the types of work involved:
Office Administration:
- Answer and manage incoming calls to office line
- Maintain inventory of merchandise and fill online merchandise orders
- Supply ordering and other office management
- Meeting notes
- Maintain presence at the office in uptown Albuquerque to support hybrid staff, receive visitors, volunteers, and packages
- Pick up mail from PO Box downtown and open, sort, and process donations and acknowledgement letters
Finance and operations support:
- Vendor, payroll, and insurance broker coordination
- Data entry in Quickbooks
- Receipt management and reconciliation in collaboration with finance team
- Filing and management of paperwork and records
- Provide assistance to finance team during yearly audit by pulling and scanning documents, etc.
- Provide administrative support to the executive director and deputy director as needed, including assisting with scheduling, correspondence, making travel arrangements, and special projects
Database and donor support:
- Assist in the maintenance of donor and email database through data entry and other tasks
- Respond to donors and other supporters through phone and email in a timely, warm manner
- Create mailing lists and data reports in the donor database Every Action. Training in the database will be provided
Outreach and volunteer coordination:
- Tabling and other public-facing outreach activities as needed
- Manage, schedule, and coordinate with volunteers
- Assist with event planning and execution
Qualifications:
- At least 2 years of experience in office administration, nonprofit operations, or similar field, or a Bachelor’s Degree.
- A passion for conservation and New Mexico’s irreplaceable natural resources.
- An enthusiasm for learning and working on a wide variety of different tasks.
- A clear, kind communication style, both oral and written.
- Reliability, trustworthiness, follow through, and attention to detail.
- Experience with Microsoft Office including Excel and Google suite. Experience in Quickbooks is a plus but not required- training will be provided.

Compensation: The salary range for this position is $50,000-$52,000, dependent on experience. Benefits include employer-shared health insurance (base plan is 90% employer paid) as well as dental, vision, long term disability and life insurance policies (100% employer paid), a 403b retirement plan with an employer match of up to 5%, and 20 days of leave per year for the first five years.
